A birth certificate is the first document required when applying for a visa, enrolling in a school or university abroad, applying for citizenship or relocating. The receiving party almost always expects a translation into English or another language, certified by a notary. Parents often put off this formality until the last few days, not knowing that certification is only possible once the paper document reaches a notary, and that the translation itself requires care with names and dates.
Mistakes in the translation of a birth certificate are costly: the document is returned, deadlines shift, and sometimes everything has to be certified again. In Kazakhstan, a notary certifies the translator's signature rather than simply stamping the paper, so it is important to understand which document is needed: a translation, a notarised copy, or both. Below are practical options for residents of Almaty, including online ordering and cases involving foreign birth certificates.
A birth certificate is translated when the document goes outside Kazakhstan or, conversely, when a foreign document is presented to Kazakhstan institutions. There are plenty of grounds: a visa and residence permit, admission to school and university, applying for citizenship, claiming a pension or benefits, a family relocation. In each case the receiving party wants to understand who was born and when, who the parents are, and which authority issued the document.
A notarised translation of a birth certificate is a translation on which a notary certifies the authenticity of the translator's signature. Such a document is accepted by consulates, migration services, educational institutions and state bodies. An ordinary translation, even a carefully done one, is usually not suitable for official submission: it contains no details of the translator, no confirmation of their qualifications by diploma and no certified signature.
It is important to distinguish who is responsible for what. The accuracy of wording, terms and figures is the translator's area, as the person who produced the translation of the certificate. In a notarised translation of a birth certificate, the notary certifies the authenticity of the translator's signature and is not responsible for the content of the translation; the notary certifies the correctness of the translation itself only when they know both languages (Art. 80 of the Law of the Republic of Kazakhstan on Notaries). That is why an error in a date, a record number or the spelling of a name comes to light at the point of submitting documents, when correcting it is most expensive.
What to keep in mind when ordering:
The language of translation is chosen to meet the requirements of the receiving party, not at random. Names, place names and the names of authorities are written consistently throughout the document. If a seal or stamp on the certificate is illegible, this is resolved before the final certification. A foreign birth certificate must be translated into Russian or Kazakh — into the language of the authority it is submitted to. The original and the finished translation are checked against each other before submission.
A birth certificate in English is most often required for a visa, study abroad or confirmation of kinship when relocating. The child's name in the translation is written as it appears in their passport, and the parents' surnames as they appear in their passports. If no one has a passport, the transliteration is agreed with the family so that the spelling does not diverge from future documents.
Translating a birth certificate into English is not only about the entries for the child, parents and nationality. The translation includes the stamp of the registration authority, the series and number of the form, and marks on citizenship, re-issue and amendments made. Sometimes the destination country accepts only a translation by its own sworn (court) translator — Kazakhstan has no such institution, so this condition is clarified with the recipient before work begins.

A translation can be notarised only when the notary sees the paper document. The translation is bound to the original certificate or to its notarised copy. So the original will still have to be brought in: either you bring it in person or send it by courier. In this case the scan serves as a draft — while the courier is on the way, the translation is already ready, and you do not lose days.
If the original is needed by someone in another city or country, it can be sent by courier service — a sealed envelope, contents listed in an inventory, preferably with a tracking number. For a visa, school or university one set is usually enough, but check with the receiving party whether a separate copy is needed for the child and the parent. Before sending, check that the document is undamaged and all pages are legible.

There are two ways to have a birth certificate notarised: translate the text of the document itself, or make a certified copy and stitch the translation to it. For a visa, school or embassy, the second option is more often required — a notarised copy of the birth certificate with a translation. The notary checks the copy against the original, certifies that it is a true copy, and on the translation stitched to the copy certifies the authenticity of the translator's signature.
The point of this arrangement is that the original stays with the family. You hand over the original only for the duration of the work, and you receive back a notarised birth certificate in the form of a copy with a translation, stitched and sealed by the notary. This notarised translation of a birth certificate is accepted by consulates, educational institutions and migration authorities: it is clear that the translation was made from the genuine document, not from a photocopy.
If the document is needed by several recipients, one translation is made and notarised copies are taken from it: the original translation goes to whoever requires the original, and the others receive certified copies. To make sure the notarisation of the birth certificate goes through without delays, check in advance:
Soviet and handwritten birth certificate forms are read by the translator by hand: the entries are handwritten, and the names of settlements may have changed. To make the translation match the document, the old name is given as it is printed, with an explanation of the current name — otherwise an authority abroad may not be able to link the place of birth to present-day geography.
If paternity was established through a court or a civil registry office (RAGS), a new certificate is issued afterwards — with the father's details, sometimes with a new number and date. In practice the recipient asks for both documents to be translated: the one issued at birth and the repeated certificate, to show the continuity of the record. In Kazakhstan, in place of a lost certificate, it is not a duplicate that is issued but a repeated certificate — through a Public Service Centre or eGov.kz: it has the same force, but its date of issue is later, and the translator reflects it as it is.
A foreign birth certificate issued abroad is translated into Russian or Kazakh for a Public Service Centre, school and polyclinic in Kazakhstan — the language of the authority to which the document is submitted. If the foreign form contains fields that are not in the Kazakhstan template, the translator carries them over as separate lines rather than fitting the document to the familiar form.
The procedure depends on where the document is going. If the birth certificate is needed in a country of the Hague Convention, the apostille is placed on the original before translation, and the apostille stamp is also translated and certified together with the main text. First the original receives an apostille in Kazakhstan, then the notarial translation of the birth certificate is made — already with the apostille.
For countries of the Minsk (1993) and Chisinau (2002) Conventions, no apostille is required: the document is accepted with a notarised translation. If the document was issued in Kazakhstan and is needed within the country — for school, university, or applying for citizenship — no apostille is required either; a notarial translation is sufficient. If, however, the certificate was issued abroad and is presented in Kazakhstan, the translation into Russian or Kazakh is certified by a notary; an apostille from the country of issue is needed only when that country is not party to the Minsk and Chisinau Conventions — certificates from Russia, Ukraine, Belarus and other participating states are accepted without one.

When asked how much a notarised translation of a birth certificate costs, the answer depends on more than one factor and is made up of several. The language pair is the main one: translation from Kazakh or Russian into English is more common, while a rare language takes more time and a translator who works in that particular pair. Work with a foreign birth certificate that needs to be translated into Russian is calculated separately: it has a different alphabet, a different structure of the record and often handwritten text.
The second factor is the document itself. A certificate of an old format or issued on a form with a poor-quality stamp is harder to read than a recent one. If the client brings an ordinary copy, the volume of translation is the same, but the notary can only attach the translation to the original or to a notarised copy, so the original will still be needed. If several copies are required, the answer is simple: each additional copy is a separate certification, so the total fee grows in proportion to their number.
The calculation also depends on urgency: work done out of turn or on the day of application is charged differently. Another point: the translator translates the document as it is and does not correct errors in the original — an error is corrected by the authority that issued the document, and if it needs to be rectified, that is a separate task. Price and timing matter, but accuracy matters more: an incorrectly rendered surname or date will lead to a repeat submission.

Before submitting to a visa centre, school or consulate, it is worth reading the document yourself, not just checking that a stamp is present. A mistake in a single letter of a surname or a digit in a date is the most common reason why a foreign authority returns the package of documents and asks for the notarised translation of the birth certificate to be redone. A replacement takes time, and submission deadlines are often already tight.
Check the translation line by line against the original: how the child's and parents' names are written, whether the transliteration matches the passport, whether the date and place of birth match, and the number of the civil registry record. Separately, look at whether all stamps and marks on the form itself have been carried over into the translation, including stamps on citizenship and on a previously issued certificate.
