Foreign passport

Turkish citizen's passport for registering an individual entrepreneur and leasing an office

Situation
An entrepreneur from Istanbul was registering an individual entrepreneur in Almaty and at the same time signing an office lease. At the Public Service Centre, a passport translation done by an acquaintance was rejected, and in the lease his surname had already been written in Cyrillic differently from the migration service documents.
What we did
We checked the spelling of the surname and first name against the data under which the client had been assigned an IIN, and used that transliteration as the basis. The translator translated all pages of the passport with the stamps, and the notary certified the translator's signature. A lawyer prepared an addendum to the lease with the corrected spelling of the surname.
Outcome
The individual entrepreneur was registered three working days after the translation. In all the client's documents — IIN, registration, lease and bank — the surname is now spelled the same way.
Statements for a visa

Fourteen pages of statements and certificates into English in two days

Situation
The family was applying for a guest visa to Canada, and the biometrics appointment was in four days. They needed English translations of income certificates for both spouses, bank statements for six months, a property certificate and the child's birth certificate — fourteen pages in total.
What we did
We split the package between two translators, having agreed in advance on a single spelling of names, bank names and job titles. The figures in the statements were checked line by line, and stamps and seals were translated as separate notes. The notary certified the translations in two rounds, as they became ready, so as not to hold up the whole package until the last page.
Outcome

Situation
A pensioner was not being credited with seven years of service: in the employment record book issued in Kharkiv, some entries were made in Ukrainian. What we did

Power of attorney in English for the sale of a share in a British company

Situation
The client owned a share in a company registered in the UK and was selling it to a partner. The buyer's lawyer sent a requirement: the power of attorney for the representative had to be in English, certified by a notary and apostilled. Translating the power of attorney into Russian as a separate document would have meant extra pages and a risk of discrepancies.
What we did
The notary prepared a bilingual power of attorney in two columns — Russian and English texts side by side, with identical powers. The translator took part in preparing the English text and signed the document as translator. After certification, the power of attorney was submitted for apostille.
Outcome
The document was accepted in London without any comments on the translation, and the share transaction was closed through the representative. The client did not have to fly in to sign.

Situation
A Kazakhstan LLP was launching a joint project with a Czech company. The Czech notary requested a translation of the charter, the registration extract and the participant's resolution into Czech, and the client could not find a freelance translator with Czech in the city.
What we did
We brought in a vetted translator with Czech, with whom we work on rare languages, agreed the list of documents and the format of the translation with the Czech side. A person brings a passport or a diploma to a translator, receives a neat text in another language and thinks the job is done. Then at the consulate, university or bank it turns out that the notary's signature is missing, there is no binding to the original, or only a copy has been translated rather than the document itself. Because of such details the papers are returned, and the time left for a visa or enrolment is already tight.

The confusion starts with terminology. Some call a notarial translation an ordinary translation with the translator's stamp, others mean certification of the correctness of the translation, and others again mean certification of a copy. What is a notarised translation?

This is a translation where a notary has certified the authenticity of the translator's signature. The translator is responsible for the accuracy of the text, the notary — for the fact that the translation was signed by a qualified translator.

Is the original document required?

For certification — yes: the translation is bound to the original or to its notarised copy. The text can be translated from a scan, but the translation cannot be certified without the paper document.

Can a notary translate the document themselves?

They can certify the accuracy of the translation if they speak both languages. Usually the translation is done by a translator, and the notary certifies their signature.

How long does a notarised translation take?

A passport or a certificate — within a day, a diploma with its transcript — one to two days, large contracts — according to the schedule. Urgent short documents can be translated and certified within a few hours.

Can I order a translation without coming to the office?
